Event Planning Freelance Assistant
As an Event Planning Freelance Assistant at Birch Design Studio, you will provide general onsite support at our events. You will interact with guests, vendors, and members of the BDS team to ensure our events run smoothly.
Key Information:
- This is a part-time freelance job
- Most of our events take place on weekends, so this job will mostly occur on weekend days
- $25/hour for local events, events that require travel offer additional benefits
Key Responsibilities:
- Assist the BDS team in setting up events. This can include distributing and setting up paper goods (menus, escort cards, place cards, signage, favors and gifts etc. This can also include confirming floor plans, layouts, seating charts, etc.
- Communicating with and working with vendors such as caterers, entertainment and venue staff to ensure our production timelines and flow are adhered to. You will work with vendors to help troubleshoot any issues that come up onsite and help rectify them. You will assist with managing aspects of events such as transportation logistics, photography staging and food service.
- Interact with event guests to greet them, check them in, assist them in moving from one stage of the event to another. You will also serve as an event host, answering any questions and helping them feel welcome.
- Perform any and all duties to support the team and the event to run on time and seamlessly, while ensuring the clients and guests are feeling very well taken care of.
Essential Skills:
- Comfortable working in a fast-paced, high stress environment: we are often orchestrating many elements at once, under time pressure and the pressure to deliver perfection. Sometimes vendors and guests can be challenging, and the ability to deal with multiple personalities in a calm, polit and professional manner is critical.
- High energy and hard working: event days are long, usually between 8-12 hours, mainly on your feet. You need to have stamina and be able to work long days and nights with a positive attitude.
- A love for events and people in general: we are onsite to not only execute and produce a well-run event, but we are also onsite to create a warm, welcoming and celebratory environment. Your attitude is critical in the success of the overall party, as our energy can help change the overall event mood.
- Anticipation and quick-thinking and decision-making: you need to be able to anticipate guests’ needs, and also any issues before they arise and be comfortable coming up with solutions in the moment.
